JOB OPENING: Operations Coordinator Reports to: CEOLocation: Council Bluffs, IowaStart date: Immediate Compensation & Benefits: $38,000 to $41,000 annual salary, dependent on experience.Schedule: Full-Time. Flexible hours, evenings, weekends and holidays on an as-needed basis. PACE OPERATIONS COORDINATORPottawattamie Arts, Culture & Entertainment (PACE) is looking for an Operations Coordinator who is energetic, organized and flexible with extraordinary interpersonal skills. This position will support the creation of an exceptional end-to-end visitor experience at the Hoff Family Art and Cultural Center. The nearly 95,000 sq. ft. Center is set to open in February 2020 and will include a 280-seat theater, rehearsal space, gallery, teaching kitchen, classrooms, and more. Under the general direction of the CEO, the Operations Coordinator is responsible for overseeing daily operations of the Hoff Family Arts & Culture Center through oversight of back and front of house operations, gallery operations, food and beverage operations, rentals, maintenance, budgeting and general operations and ensuring the readiness and smooth operation of the Center. JOB DUTIES AND RESPONSIBILITIESOversee general business administration, facilities and maintenance of the Hoff Family Arts & Culture Center.As a member of PACE management, work with the team to design, plan and implement artistic programming for the community.Approves, schedules and plans master calendar and coordinates the schedule of all events for the Center, with the assistance of partners and PACE staff.Oversees all facility and maintenance contracts, including janitorial, information technology, security, grounds maintenance, etc.Serve as an administrator of various software used in daily operations, including ticketing, donor management, accounting and point of sale. Supervise the set-up of all equipment and other special requirements for all performances, rehearsals, classes, programs and rentals. Along with the PACE staff, schedule, coordinate and manage facility rental requests.Along with the PACE Bookkeeper manage all accounting, including accounts payable and accounts receivable, payroll, as well as maintain accurate and current records of all financial transactions. Assist staff in creating and maintaining operational policies and procedures.Assist staff in processing and tracking financial transactions including donations, tickets, retail, food and beverage, memberships, donation boxes, etc.Assist with compiling weekly and monthly finance reports and dashboards for internal use by PACE staff, partners and board of directors.Assist in compilation and preparation of the annual budget, in addition to special program budgets.Manage human resources functions, including managing the employee recruitment process.Orient new employees to benefits, policies, and procedures. Maintain employee handbook and develop other employment documents as necessary.Provide management of volunteer activities for events and daily operations.Hire contractors to complete tasks above and beyond capabilities of staff.Establishing and maintaining positive interpersonal relationships with donors, volunteers, staff, partners, contractors, visiting artists and the general public.Contribute to the success of PACE operations by assisting in fundraising, membership drives, grant writing and other revenue-producing activities, and as needed giving visitor tours, managing the box office or front of house, and staffing rental events.Provide administrative support for CEO and board of directors as needed.Other duties as assigned. MINIMUM QUALIFICATIONS KNOWLEDGE, SKILLS AND ABILITIES:Bachelor’s degree required: preferred focus in arts administration, performing arts or business-related degree.Expert computer skills - familiarity with Microsoft Office, Google G Suite, Adobe, Quickbooks, Blackbaud Altru, and Vendini a plus.Tech savvy. Ability to maintain confidence as it relates to sensitive information.Excellent customer service skills. A team player who can work well with others in sometimes stressful environments. The ability to work and communicate effectively with a diverse group of board members, donors, volunteers, patrons, partners and staff of diverse cultural backgrounds. Budget management experience preferred.An understanding of basic accounting principles is required.Human resources management experience is a plus.Experience working in a Performing Arts Center or Museum is preferred.Must have the ability to work a flexible schedule, including evenings, weekends, and some holidays.Must possess a working knowledge of operations for at least one art form presented at the Center.
